Position: Executive Assistant (Home-based)
Company: Outsourced · Vietnam (Remote)
Role Overview:
We are seeking a highly organised and proactive Executive Assistant to support a senior executive with client communication, administrative operations, and day-to-day coordination. This role is key to delivering an exceptional client experience, maintaining operational accuracy, and anticipating executive needs in a fast-paced environment.
Key Responsibilities:
- Client Communications & Data:
- Manage recurring client communications and maintain accurate data tracking
- Own the client experience outside of live sessions
- Manage client data in Google Drive and Asana
- Coordinate session logistics and ensure all tasks are completed on time
- Maintain the sales dashboard in Asana
- Support occasional research and business development tasks
- Learn and follow the EVA administrative process
- Administrative Support:
- Manage calendars, inboxes, meetings, invoicing, and data entry
- Respond to emails within two hours during working hours
- Coordinate meetings, prepare documentation, and take notes as needed
- Balance shifting priorities and deadlines
- Communicate effectively with internal and external stakeholders
Requirements:
- Bachelor’s degree or equivalent experience
- Home-based setup in Vietnam with reliable internet
- Working hours: 8:30 AM – 5:30 PM (Malaysia Time, GMT+8)
- Flexibility to start as early as 5:30 AM GMT+8 during limited periods when required
- Training phase requires overlap with Central Time (GMT-6)
- Highly organized with strong attention to detail
- Independent, action-oriented, and service-focused
- Strong written and verbal English communication skills
- Willingness to learn the EVA administrative system
- EOS experience is a plus
